Useful for async and remote teams

Distributed teammates rely on the recap to catch up without replaying the recording.

Recap vs summary vs notes vs minutes

What each format actually means

These four terms are used interchangeably but they mean different things in practice. A recap is a brief document sent to participants after the call covering what was discussed, what was decided and what happens next. It is usually two to four paragraphs and takes two minutes to read. A summary is similar but typically stays inside a tool rather than being emailed. Meeting notes are more personal, closer to a structured list of points jotted during or after the call. Meeting minutes are a formal record, often required for board or legal meetings, that include an attendance list, a numbered agenda, verbatim resolutions and a signature from the secretary. Most business meetings need a recap, not minutes.

  • Recap: brief, external-facing, sent after the call
  • Summary: similar but internal, stays in the tool
  • Minutes: formal, legal-grade record with attendance and resolutions

What a good recap contains

Structure that works every time

A good meeting recap covers four things: the purpose of the meeting, the main topics covered, the decisions made (not just topics discussed) and the actions that follow with an owner for each. An optional fifth element is unresolved questions that need a follow-up. The recap should be readable without needing to know the background of the project. Someone who missed the meeting should understand what happened. RecordMeeting generates this structure from the transcript. The output is linked to the recording and full transcript so anyone who wants more detail can get it.

  • Meeting purpose and topics covered
  • Decisions made, stated clearly
  • Action items with owner context from the transcript

When to send a recap

Timing and audience

The best time to send a meeting recap is within one hour of the call ending. Context is fresh for the sender and recipients are still in the mental frame of the meeting. Sending the next day means people have moved on, and corrections get ignored. For internal meetings, the audience is the attendees plus anyone mentioned in action items. For client meetings, send to your main contact and copy anyone who owns an action. For board or steering meetings, send to all invitees including those who could not attend. RecordMeeting makes the one-hour window achievable because the recap is generated automatically and is available within minutes of the call.

  • Send within one hour, while context is fresh
  • Internal: attendees plus action owners
  • Client: main contact plus action owners

Recap formats for different contexts

Internal, client and board meetings

An internal team recap can be informal: a short paragraph plus a bulleted list of action items. Language can be direct and assume shared context. A client-facing recap needs to be more formal. Open with a thank-you or a reference to the meeting purpose. Avoid internal jargon. State each action clearly with a due date if one was mentioned. A board or governance meeting recap follows a tighter structure: date and attendees at the top, agenda items numbered, each decision stated as a resolution. RecordMeeting's automatically generated recap works well as a starting point for all three. For client and board recaps you will typically refine the language before sending.

  • Internal: informal, bullet-heavy, direct
  • Client: polished, no jargon, actions with due dates
  • Board: formal structure with numbered resolutions

Rated 4.7 out of 5 on Chrome Web Store

"I use it for Google Meet calls - super convenient: one click and the meeting is recorded, and afterwards you automatically get a transcript in a Google Doc with speaker labels and timestamps. A big plus for privacy: it doesn’t add any “bots” to the participant list, everything stays clean and professional. Search across meetings and 2×/3× playback are must-haves to quickly pull out decisions and action items. A real lifesaver for work, highly recommend!"

FAQ

Frequently Asked Questions

Everything you need to know about RecordMeeting.

What is the difference between a meeting recap and meeting minutes?
A recap is a brief post-meeting document covering what was discussed, what was decided and who does what next. It is typically 200 to 400 words and designed to be read in under two minutes. Minutes are a formal legal record, used for board or compliance meetings, that include a full attendance list, numbered agenda items, verbatim resolutions and a signature. Most business meetings need a recap, not minutes.
A meeting recap email should include a one-line reference to the meeting (title, date), the main topics covered, any decisions reached, and a list of action items with owners. Keep it to under 300 words. Link to the full recording or transcript if the recipient needs more detail.
Within one hour of the call ending if possible. Context is still fresh for both sender and recipients, and corrections get addressed quickly. Sending the next day reduces the chance of action items being acted on.
In practice, they are often the same thing. The term recap tends to be used for the document sent externally after the meeting. Summary tends to refer to the version stored inside a tool. Both cover what happened and what comes next.
Today, copy the recap from your workspace and paste into your email client. Automated email delivery is on the roadmap.
