These four terms are used interchangeably but they mean different things in practice. A recap is a brief document sent to participants after the call covering what was discussed, what was decided and what happens next. It is usually two to four paragraphs and takes two minutes to read. A summary is similar but typically stays inside a tool rather than being emailed. Meeting notes are more personal, closer to a structured list of points jotted during or after the call.
