How to Record a Microsoft Teams Meeting in 2026

Microsoft Teams includes built-in recording on paid plans, but permissions, storage location, and transcript availability vary depending on your organization's settings. This guide covers every method available in 2026.

Using Teams Built-In Recording

During a Teams meeting, click the three-dot More actions menu and select Start recording. All participants receive a notification that the meeting is being recorded. The recording saves to OneDrive (for standard meetings) or SharePoint (for channel meetings). Once the meeting ends, the recording is processed and a link appears in the meeting chat. Built-in recording is available on Microsoft 365 Business Basic, Business Standard, Business Premium, and Enterprise plans. Free Microsoft accounts do not include recording.

Transcript in Teams

Teams can generate an automatic transcript alongside the recording. To enable it, click Start transcription from the More actions menu separately from starting the recording. Transcripts appear in real-time in a side panel and are saved with the meeting recording. Transcript availability depends on your organization's language settings and whether your admin has enabled the feature. Transcripts support multiple languages and include speaker attribution, making it easy to identify who said what in long calls.

Recording as a Participant

In most Teams deployments, only meeting organizers and people from the same organization can start recordings. Guests and external participants cannot record. If you are an external participant who needs a recording, ask the organizer to start one or use a screen recording tool running locally. Browser extensions that capture at the tab level also work when Teams is accessed through the web browser rather than the desktop application.

Storage and Access After the Meeting

Standard meeting recordings are stored in the organizer's OneDrive folder under Recordings. Channel meeting recordings go to the SharePoint document library of that channel. Recordings are automatically shared with all meeting participants, who can view but not edit the file. Retention policies set by your IT admin may delete recordings after a defined period. Download a copy of important recordings promptly if your organization has aggressive retention settings.
